Who we are
Marshay's Tax Preparation Services (the Firm, we, us) is a sole-proprietor, online tax-preparation practice serving clients in all 50 states, by appointment. We can be reached at marshaystaxprepservices@gmail.com or 951-772-7329.
What we collect
We collect only what we need to provide tax preparation and related services:
- Contact information you give us (name, email, phone, mailing address) through our intake form, booking form, or portal account.
- The last 4 digits of your Social Security or taxpayer ID number, stored encrypted. We never store your full number — it lives only in the commercial tax-preparation software used to actually prepare your return.
- Documents you upload to your secure portal (tax forms, identification, and similar), stored privately and never publicly accessible.
- Messages you send through the portal, and a record of appointments and engagements.
- Payment and bank-account information — we never see or store your full bank account or routing number. That information is collected and held entirely by our payment processor, Stripe; we only ever see a reference token and the last 4 digits.
- Basic account/security information (your portal login, and activity like sign-ins) to keep your account secure.
How we use it
We use your information to:
- Prepare and review your tax return and provide the services you’ve engaged us for.
- Communicate with you about your engagement, documents, deadlines, and account.
- Collect payment for services, per the Payment Authorization you separately sign.
- Meet our legal and professional record-keeping obligations as a paid tax preparer.
- Keep our systems secure and investigate suspicious activity.
Your tax return information gets extra protection
Federal law (Internal Revenue Code §7216) specifically restricts how a paid tax preparer may use or disclose your tax return information. We do not use or share your tax return information for anything beyond preparing your return — including any additional service like bookkeeping, tax planning, or IRS/state notice assistance — unless you’ve separately and affirmatively consented to it in writing, which you can decline, limit, or withdraw at any time.
Who we share it with
We do not sell your information, and we do not share it with anyone for marketing purposes. We only share information with the service providers that help us run the business, each only for the purpose of providing their specific service:
- Stripe — processes payments and bank-account linking. We never see your full account details.
- Resend — delivers account and engagement-related emails on our behalf.
- Neon and Vercel — host our secure database and document storage.
- Google — our business email, which staff may use to communicate with you.
We may also disclose information where required by law, such as in response to a valid subpoena or court order.
How we protect it
Sensitive fields (like your taxpayer-ID last 4 digits and two-factor-authentication codes) are encrypted. Uploaded documents are stored privately and are only reachable through your authenticated portal session. Your portal account supports two-factor authentication, which we require. We keep an internal record of who accessed or changed sensitive information and when.
How long we keep it, and your choices
We keep engagement records, invoices, and signed agreements for as long as required by our professional record-keeping obligations as a paid preparer. Signed agreements specifically cannot be altered or deleted once signed — this is a permanent, built-in safeguard that protects the integrity of your signature, the same way a signed paper document would be kept on file.
For anything else, you can ask us to delete your personal information from our systems (name, contact details, address, and similar) at any time by contacting us. We’ll confirm once it’s done. This does not remove records we’re required to keep for legal or tax-preparer record-keeping purposes, and does not affect a signed agreement as explained above.
Cookies and site analytics
Our site may use a small amount of browser storage to remember your language preference, and may use Google Analytics to understand how our site is used in aggregate. We do not use advertising or cross-site tracking cookies.
Children
Our services are intended for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
If we make a material change to this policy, we’ll update the effective date above and, where appropriate, let current clients know directly.
